Artificial Intelligence (AI) Use Policy

Purpose

This policy establishes the guidelines for the transparent, ethical, and responsible use of artificial intelligence (AI) tools in manuscripts submitted to Edunexis. Journal of Education & Social Research, as well as in peer review and editorial management processes.

The policy is based on the principles and international recommendations of the Committee on Publication Ethics (COPE) and on best practices in scholarly publishing.

Scope

This policy applies to authors, reviewers, editors, editorial assistants, and all participants involved in the journal’s editorial process.

Definitions

AI-assisted or AI-generated content refers to any text, image, figure, table, code, data analysis, or other material created totally or partially through artificial intelligence tools, regardless of the level of subsequent human editing or intervention.

Use of AI-Generated Images

Images, figures, illustrations, or visualizations generated totally or partially using artificial intelligence tools must comply with the following requirements:

  • Any AI-generated image must be clearly identified in the figure caption, indicating the tool used and, when applicable, its version.
  • Authors assume full responsibility for the content, accuracy, and any ethical or legal implications arising from the use of AI-generated images.
  • The journal reserves the right to reject images or figures whose content cannot be properly verified, contains inaccuracies, or infringes upon third-party rights.

Authorship and Prohibition of Citing AI as a Source

Artificial intelligence tools may not be listed as authors of scientific manuscripts, as they cannot assume intellectual responsibility, academic validation, or ethical accountability for generated content.

All human authors must assume full responsibility for the originality, integrity, review, and accuracy of AI-assisted or AI-generated content.

The formulation of the research problem, critical analysis, interpretation of results, discussion, and conclusions must remain exclusively under human authorship.

Likewise, citing artificial intelligence tools as bibliographic sources, academic references, or scientific evidence supporting substantive claims is strictly prohibited.

Maximum Threshold and Mandatory Disclosure

Manuscripts submitted to Edunexis. Journal of Education & Social Research may not exceed 20% AI-assisted or AI-generated content, according to the evaluation criteria and detection tools used by the journal.

Any use of AI tools must be fully disclosed, including applications related to:

  • Language editing.
  • Translation.
  • Grammar correction.
  • Image or figure generation.
  • Programming or coding assistance.
  • Data organization or analysis.
  • Partial text generation.

The use of basic spell checkers or standard reference management software such as Zotero, Mendeley, or EndNote does not require disclosure.

Disclosure Requirements

The use of AI tools must be declared in the following sections:

Cover Letter

Authors must include a general statement describing the use of artificial intelligence tools during manuscript preparation.

Methodology or Relevant Section

The manuscript must specify:

  • The name and version of the AI tool used.
  • The purpose of its use.
  • The sections where AI assistance was applied.
  • The author’s role in reviewing, validating, and supervising the generated content.

Peer Review

Reviewers must maintain strict confidentiality regarding submitted manuscripts and may not upload manuscripts, either partially or entirely, into artificial intelligence platforms.

Likewise, reviewers must not use AI tools to generate peer review reports or replace the scientific, academic, and critical analysis required during the peer review process.

Editorial Use of AI

The editorial team may use artificial intelligence tools only for technical, administrative, or editorial support activities that do not compromise academic integrity, scientific ethics, confidentiality, or transparency in the editorial process.

Consequences of Non-Compliance

Failure to disclose the use of AI, exceeding the permitted threshold, or inappropriate use of artificial intelligence tools may result in:

  • Rejection of the manuscript.
  • Suspension of the editorial process.
  • Post-publication corrections.
  • Partial or full article retraction.
  • Other editorial measures in accordance with COPE guidelines.

Policy Updates

This policy may be updated periodically in response to technological, ethical, and regulatory developments related to the use of artificial intelligence in scientific publishing.

Authors are responsible for consulting the current version of this policy before submitting their manuscripts.
